Lansy Desk Privacy Policy
Last updated: November 3, 2026
1. Who we are
1.1 Lansy Desk is an application for recording, transcribing and summarising meetings and calls, available on iOS, on desktop and on the web. It is provided by COLLABO TECH LTD, a company registered in the Dubai International Financial Centre ("DIFC") under licence number CL12226, with its registered office at Unit IH-00-01-03-OF-05, Level 3, IH-00-01CP-05, Dubai International Financial Centre, Dubai, United Arab Emirates ("Lansy", the "Company", "we", "us" or "our").
1.2 This Policy explains how we process personal data of people who use Lansy Desk ("you") and of people whose voice or words are included in recordings made with Lansy Desk ("Participants"). For Lansy Desk, Lansy is the controller of personal data. Where you use Lansy Desk through an account provided by your employer or another organisation, that organisation is the controller of the content of your recordings and we process it on its behalf.
1.3 This Policy applies together with the Lansy Desk Terms at https://lansy.ai/desk/terms and our Cookie Policy at https://lansy.ai/legal/cookies. It does not apply to the Lansy platform for businesses, which is covered by the Lansy Privacy Policy at https://lansy.ai/privacy_policy.

3. Recording other people
3.1 If you record or upload a conversation with Participants, you must tell them before recording that it is being recorded and processed with AI, and obtain their consent where the law requires it. Lansy Desk reminds you to do so.
3.2 If you are a Participant, you can ask the person who recorded you to delete the recording, or contact us at privacy@lansy.ai. We will help you, taking into account that the recording belongs to that person's account.
4. How Lansy Desk processes recordings
4.1 Recordings are uploaded in encrypted form to our infrastructure in the United Arab Emirates. There, our own systems convert speech into text and separate the speakers. Audio is not sent outside our infrastructure.
4.2 The text of the conversation is then analysed by AI language models to prepare summaries, notes and other results and to answer your questions in the in-app assistant, as described in section 6.
4.3 You can mark a recording as private. For private recordings, meeting notes are not included in emails and the meeting title is hidden in push notifications.
5. Purposes and legal bases
5.1 We process personal data:
(a) to create and manage your account and provide Lansy Desk, including recording, transcription, speaker separation, summaries and the assistant (performance of our contract with you);
(b) to process Participants' data in your recordings, so that we can provide Lansy Desk to you (our legitimate interest and yours in recording and summarising your meetings, and, where the law requires it, the consent you obtain from Participants);
(c) to send service emails and push notifications, such as notices that a summary is ready, meeting notes, invitations and password reset (performance of our contract);
(d) to send emails about getting started and new features (our legitimate interest in helping you use Lansy Desk, or your consent where the law requires it; you can unsubscribe at any time through the link in each email);
(e) to handle sign-up requests and enquiries, including in our internal customer relationship management system (steps at your request before a contract and our legitimate interests);
(f) to keep Lansy Desk secure, prevent misuse and fix errors (our legitimate interests);
(g) to process payments and keep accounting records (performance of our contract and legal obligations); and
(h) to comply with the law and to establish, exercise or defend legal claims (legal obligations and legitimate interests).
5.2 We do not use your recordings, transcripts, summaries or other content to train AI models, we do not sell your personal data and we do not use your content for advertising.
6. Use of AI
6.1 Speech recognition and speaker separation run in our own infrastructure. To prepare summaries, notes and other results and to answer assistant questions, we send the text of the conversation, which does not contain data that such models could treat as personal data, and your assistant questions to AI language models of third-party providers through OpenRouter, Inc. The models are provided by OpenAI and Google and run in the United States.
6.2 These providers process the text only to return the result to us, and we use them only under terms and settings that do not permit them to use it to train their models or to keep it longer than needed to provide their service. No audio and no voice characteristics are sent to them.
6.3 Results are generated automatically and may be inaccurate. They are not used to make decisions about you or Participants that have legal or similarly significant effects.
7. Connecting AI assistants
7.1 You can, on your own initiative, connect an external AI assistant, such as Claude by Anthropic or ChatGPT by OpenAI, to your meetings through our MCP connector. Access is granted only after you confirm it on a consent screen, is read-only within your own permissions and can be revoked at any time.
7.2 Before data is sent to the assistant, the names and contact details of Participants who are guests are replaced with placeholders. The provider of the assistant is chosen by you, processes the data under its own terms and is not our sub-processor.
8. Voice characteristics
8.1 To tell speakers apart, our systems analyse the characteristics of the voices in a recording. Voice characteristics are processed only in our infrastructure and are never sent to third parties.
9. Who we share data with
9.1 We share personal data only with our sub-processors, listed with their locations at https://lansy.ai/subprocessors, and, where necessary, with professional advisers bound by confidentiality, a buyer or successor of our business, subject to this Policy, and regulators, courts and law enforcement authorities where the law requires it.
10. Where data is processed
10.1 We store your data in the United Arab Emirates. To provide Lansy Desk, some of it is processed in other countries.
10.2 Lansy Desk is offered as a single service worldwide. Wherever you are, your data is transferred to and processed in these countries. When the law of your country restricts such transfers, we make them in accordance with that law, for example on the basis of contractual safeguards with our providers or where the transfer is necessary to provide the service you have asked for.
11. Payment data
11.1 When you pay on our website or in our desktop application, our payment provider collects and processes your payment card details under its own privacy policy. We do not receive or store your full card number. We receive the information needed to manage your subscription: your name, email address, billing address and country, the plan, the payment status and history, and the brand, last four digits and expiry date of your card.
11.2 When you pay through the Apple App Store or Google Play, the store processes your payment data under its own privacy policy and gives us only the information needed to confirm and manage your subscription.
12. How long we keep data
| Data | Retention |
|---|---|
| Audio | For the period shown in the app settings, by default 30 days |
| Transcripts, summaries, notes and assistant history | Until you delete them or close your account |
| Account data | Until you close your account, then deleted within 30 days |
| Sign-up and enquiry data | 2 years after our last contact with you |
| Billing records | For the period required by accounting and tax law, also after you close your account |
| Email preferences | Until you unsubscribe, and a record of the unsubscription for as long as needed to respect it |
13. Security
13.1 We protect personal data with technical and organisational measures appropriate to the risk, including encryption in transit and at rest, processing of audio only within our own infrastructure, role-based access, multi-factor authentication for our personnel, access logging, backups and an incident response procedure.
14. Your rights
14.1 Wherever you are, you can ask us to: tell you what personal data we hold about you and give you a copy; correct it; delete it; restrict or object to its use, including at any time to direct marketing; give it to you in a portable format; and have a person review a result of automated processing that concerns you. Where we rely on your consent, you can withdraw it at any time without affecting processing before the withdrawal.
14.2 You can delete recordings and your account in the app. For other requests, write to privacy@lansy.ai. We respond within one month, which may be extended where the law allows, and may ask you to confirm your identity.
14.3 If you are not satisfied, you can complain to the DIFC Commissioner of Data Protection or to the data protection authority where you live or work.
14.4 Our representative in the European Union and the United Kingdom is Stepan Spiridonov, who can be contacted at s.spiridonov@thedatum.ai.
15. Changes to this Policy
15.1 We may update this Policy by publishing a new version at https://lansy.ai/desk/privacy. The date at the top shows when it was last changed.
